Position Title: Assistant Property Manager

Location: Miami Beach, Florida

Reports to: Property Manager or Senior Property Manager

Position Summary:

The Assistant Property Manager plays a critical role in supporting day-to-day operations across a portfolio of commercial properties. This position requires strong organizational, communication, and administrative skills, as well as a proactive and customer-service-oriented mindset. The Assistant Property Manager will work closely with tenants, vendors, and internal teams to ensure efficient property management and tenant satisfaction.

Key Responsibilities:

•    Assist with the daily management of commercial office or retail properties, including lease administration, tenant communications, and facility operations.

•    Respond promptly and professionally to tenant inquiries, service requests, and concerns; coordinate resolutions with maintenance or vendors as needed.

•    Support financial operations by processing invoices, coding expenses, assisting with budget preparation, and tracking accounts receivable.

•    Coordinate vendor services including janitorial, landscaping, security, and building repairs; oversee vendor performance and contract compliance.

•    Assist with inspections of properties to ensure upkeep, cleanliness, and compliance with safety standards.

•    Maintain accurate and organized property records, lease documents, insurance certificates, and vendor files.

•    Participate in tenant onboarding, move-ins/move-outs, and space walk-throughs.

•    Provide support in managing capital improvement and repair projects, coordinating with contractors and stakeholders.

•    Collaborate with the Property Manager on monthly reporting, operating expense reconciliations, and tenant correspondence.

•    Maintain knowledge of lease terms and key dates; assist in enforcing lease provisions.

Qualifications:

•    Bachelor’s degree preferred, ideally in Real Estate, Business, or related field; equivalent experience will be considered.

•    2+ years of experience in commercial property management or administrative support in real estate.

•    Strong knowledge of Microsoft Office Suite; familiarity with Yardi, MRI, or other property management software a plus.

•    Excellent written and verbal communication skills.

•    Strong attention to detail, time management, and ability to manage multiple priorities.

•    Customer service mindset with the ability to build and maintain positive tenant relationships.

•    Professional demeanor and ability to maintain confidentiality.
